Executive Assistant/Receptionist

Job Description

Executive Assistant:

-Assist with general administrative duties, including:

  • Detailed Travel planning, sometimes complex
  • Calendar Management
  • Prioritizing and tracking phone calls/emails and their timely responses
  • Draft correspondence, formatting, inputting, editing, copying and transmitting text and data
  • Establish and maintain files and records
  • Prepare ad hoc reports and presentations for special projects as needed

- Generally support the productivity of investment professionals in whatever capacity is required

- Maintain employer's privacy by keeping all corporate and personal information confidential


Receptionist:

- Greet visitors and accept deliveries

- Order office snacks

- Order breakfast and lunch for meetings, when needed

- Schedule conference rooms for meetings

- Monitor conference room calendars to be ready for meetings

- Make sure conference rooms are clear after meetings

- Reconcile monthly grocery, FedEx and UPS statements

- Assist with holiday gifting

- Run occasional errands


Qualifications

- Bachelor's degree

- Previous job experience, Long-term commitment desired

- Desired skills/personal qualities:

  • Proficient in Microsoft Office: Outlook, Word, Excel, PowerPoint (advanced charting a plus), Adobe Acrobat
  • Scheduling and travel logistics
  • Excellent verbal/written communication skills
  • Detail-oriented and organized
  • Ability to handle multiple simultaneous requests and prioritize accordingly
  • Ability to maintain strict confidentiality and discretion with matters of high importance
  • Upbeat demeanor, adaptable attitude, composure under pressure
  • Resourceful team player with ability to act independently
  • Comfort suggesting process improvements
